@Scott - to highlight overdue projects we need to add start and due date for projects and define when a project is considered overdue. Regarding adding what is shown - we have just released new calendar and I will add project name and project group name to Agenda and Daily views where we have space to show them. In the monthly view, you can see project name when you click on an item.

@Mark - please my note above. Please also note that we add project and project group name to calendar links and data we push to Google Calendar via GSync so you can always use this and see this info in your external calendar if it can display long titles

We have two use cases here.

          1. Making is super easy to work with clients. Clients can see only Discussion and Tasks which specifically marked as visible to them. Rest is not visible to them

          2. Allowing true privacy – concept described by Caroline. Once this mode is enabled users can create private tasks and decide who they want to share it with.

@Caroline – I assume project and project group administrators should be able to see private tasks. Right?

          NEW UPDATE

Probably we should move Private Tasks and Private Discussions into a separate add-on which is not available by default.

We have requests for private tasks and we have requests for disabling privacy – when a teacher in a school does not want students to create private tasks at all.

I assume functionality similar to Private Discussions we already have in Freedcamp is what you are after.

          OLD UPDATE

AdminFreedcamp (Feedback Squad, Freedcamp) commented  ·

@Sasha-Shae - it only looks to be as simple as in Discussions.
We need to rewrite essentially all Tasks and Milestones to make sure that a milestone cannot be assigned to a person who can not see some private tasks in that milestone, add extra validations that you can not add a private subtask to a task whose assignee cannot see that private subtask and about 100 other use cases.

Without subtasks and linked to Tasks applications - Milestones, Time etc - I agree it would be relatively easy.

Note: This feature was requested in 2012 and only 137 people voted for it. About 800 people join Freedcamp daily.

If this is a must-have functionality and you can not use a separate project to track customer tasks I would honestly and respectfully suggest finding another system with an ability to handle private tasks.

@Mateusz - see feature status to check if it is completed or not. Completed features has status ... "Completed" :)

          @Caroline

I think concept of making private tasks from your coworkers in a project is very questionable to be in demand. I hear about it for the first time. Can you give us a use case please?

          Cheers,

            @Jason

'Review Contract' assigned to Bob, John, Alice - status not started

            Monday
Bob marks it as In Progress
John, Alice should still see this task as not started
Everyone except John, Alice (you, Bob etc.) should see it as In Progress

            Tuesday
            Bob marks it as completed
John marks it as In Progress
Alice should still see this task as not started
Bob should see this task as completed
John should see this as in Progress
Everyone except Bob, Alice (you etc.) should see it as In Progress

Is this how you envision it? Do you still think it is better than to use a standard approach with a tweak?

Create a task 'Review Contract', select Bob, John, Alice, save it and end up with Freedcamp creating for you:

            'Review Contract' - task
'Review Contract' - subtask assigned to Bob
'Review Contract' - subtask assigned to John
'Review Contract' - subtask assigned to Alice

We can add extra settings to always close a task when all subtasks are completed and close all subtask when someone marks a parent task completed.

AdminFreedcamp (Feedback Squad, Freedcamp) commented  ·

@Novation469 - we are working the next sprint on the following functionality (paid plans only as subtasks can only be assigned on paid plans):

When you create a task you can select multiple people
Freedcamp will automatically show subtasks with a task title assigned to those people
You can overwrite the title of subtasks before saving
If subtasks title is not overwritten and a task has a description we will add a link pointing to a parent task into subtasks descriptions
When you save you get all subtasks created for each person you selected

            We agree with your objections.

AdminFreedcamp (Feedback Squad, Freedcamp) commented  ·

How about we add a multiple selection box when you create a task and IF you selected more than one person it will create a task and N subtasks - each assigned individually for you underneath 'Update BIO'?

AdminFreedcamp (Feedback Squad, Freedcamp) commented  ·

@James - wouldn't it be easier to not assign a task but subscribe a few people who should consider doing a task. They decide who will be responsible and take it - others remain subscribed to help and contribute but ultimately they are no longer responsible for a delivery?

AdminFreedcamp (Feedback Squad, Freedcamp) commented  ·

We still want to do it - so 'planned'. Most likely the first solution will be after project teams will be removed, global teams will just become teams - we will allow assigning teams to items.

AdminFreedcamp (Feedback Squad, Freedcamp) commented  ·

@Johannes - the problem is this for you, who completed this task, it should show as completed, for you, as a project manager it should show as not completed. For the rest of the team who do not manage a project, it should go away from their radars when they completed it.

Maybe it will be easier to allow to create a task, assign a team or all or selected individuals and select - create subtasks for each person assigned which will duplicate this task as a subtask for each person?

In this case, 10/13 works as we already have it in Subtasks Pro as you, as a manager, know that subtasks assigned to you is completed by you BUT it is still 10/13?

            Just thinking out loud.
            Cheers,
            Igor

Re: "Also I don't like that if I'm the one creating a task..." - this is completely irrelevant topic. Please try to post a new feature requests as otherwise it most likely be missed.

AdminFreedcamp (Feedback Squad, Freedcamp) commented  ·

@Anna - yes all project users except those who have 'User' security profile can reassign tasks to other users in a project.

            Hi Rob,

We are launching advanced subtasks next week - they have all the attributes of a normal task - priority, assignee, due date, description, status, comments etc. It will cost $2.99 unlimited users and projects a month.
This solves a bit a problem with multiple assignments.

Next I want to attack Calendar events to add start date, start/end time, recurrence and flexible reminders and change a way we allow to export/share calendars so it becomes instantly compatible with GCalendar, iCal and Outlook.

After this is dome we have two things - recurring tasks and assigning multiple people to a single task which both have almost the same vote count here - https://freedcamp.uservoice.com/forums/126945-suggestions-for-features/filters/top

We will also try to make perfect time recording for tasks and integrate tasks time with our time tracking application and improve Invoices+ app to allow to do both bill clients/pay contractors - has more votes that each of above in top list.

            Cheers,
            Igor

Ok. As I see it most people just want a task to be done and they want this task to be shown for a few people as a task assigned to them and let them to decide who will do it.

I am hoping to see people who need each person to "brush teeth" or "review contract" and check a task as completed for it to be marked as completed. Otherwise it will show 3/5 and not completed. Project administrators probably can still close such tasks.

AdminFreedcamp (Feedback Squad, Freedcamp) commented  ·

Subtasks - can be solved but if you have such case:

"I have a scenario where my client has two business decision makers and I want to add a task to sign-off a task group to both of them."

and you have 5 people it will be time consuming to create 5 subtasks and assign each. In addition it will be not clear what to do with a parent task - who this should be assigned to?

I want to also highlight that we will be launching subtasks pro to new pricing plans in two flavours.

            1. Subtasks with ability to assign them to people, set status and due dates, have description and comments.

            2. All in (1) + up to 6 levels of nesting in subtasks

Looks like solution will be to let a task to be completed (BY DEFAULT) in this manner 3/5 (if assigned to 5 people) with clear indication who are 3 people who marked it completed and mark a task as completed when it is 5/5. However we should probably allow to change default and allow to make task completed as soon as anyone assigned checks it off.

Here is how other system does it - https://www.dropbox.com/s/827f83k0pqzbu9y/Task%20completed%20when.png?dl=0

It works for multiple people assignments and they have 3 ways:
            1. Everyone assigned marks as completed
            2. Anyone assigned marks as completed
            3. Task has 0-100% bar and completed as soon as anyone sets it to 100%

I think 1-2 is enough to solve this and % completion can be tackled when we will start looking at better Time Tracking and Tasks integration and talk to all of you specifically about how do you want to track task's progress - by using %-meter as above or setting time required and measure against time recorded or something else.

            Igor

            Hi Luca,

As always - awesome comment - thank you so much for helping us to make Freedcamp better.

I am thinking should we make a special Freedcamp project with just Discussions installed for all feature requests reaching say 50 votes and inviting everyone who voted to a discussion in Freedcamp? I can invite all who is still using Freedcamp and you guys are free to reject. I suspect we lost some voters as Freedcamp users inevitably. For you it will show up as a project called 'Freedcamp community' and you can subscribe to Discussions, unsubscribe or leave a project.

What do you think? Currently I see that only 5 out of 103 people subscribed to comments - so I am posting now only for 5 people :(

I will post what I think about actual feature in my next comment.

AdminFreedcamp (Feedback Squad, Freedcamp) commented  ·

Regarding "when i create a "todo" there is the option of "notify" but when i submint the "todo" it disappear so if i want to add people that i would like to follow the todo i can not!!!" - this is not true. Open a task after it was created and check boxes on right side of the page in 'Notifications' block.

AdminFreedcamp (Feedback Squad, Freedcamp) commented  ·

We have just added an option to subscribe to a TODO more than one person (it is assigned to one person but you can notify more than one person).

Please let us know if actual assignment to more than one person is required. Keep in mind that we are planning to add groups and ability to assign to a group in future too.

AdminFreedcamp (Feedback Squad, Freedcamp) commented  ·

We are constantly asking people to tell us why do they need to assign multiple people to the same task. Here is one of the answers: "I was trying to assign 2 - 3 people to a single 'To do's task where they have different role to perform. True that I can assign 2 - 3 separate 'To-do's for them. But I have a constraint where I can't (impossible) further decomposed the 'TO do's due to the local requirements."

AdminFreedcamp (Feedback Squad, Freedcamp) commented  ·

We are also adding Subscribe module you see in Discussions to TODOs so you can assign one person and subscribe others.

AdminFreedcamp (Feedback Squad, Freedcamp) commented  ·

@Miranda thank you for sending us the use case. As a temporary measure I'll suggest you create a to-do group for each group of students. If you'd like you can list their names in the description of the To-Do group.

AdminFreedcamp (Feedback Squad, Freedcamp) commented  ·

This is a note for people following this feature. Please give us some use cases where one task needs to be assigned to two people.

AdminFreedcamp (Feedback Squad, Freedcamp) commented  ·

Just an update about this feature and the possibilities we are considering.

First of all as seen in most other Project Management systems there will always be one person the task is assigned to officially.

However, when our module/plugins become available an extension would be ability to add more "Roles" like Task Lead and Co-Asignee. This way we can still have a clear assigned to person, but still allow to include others in on the task.

AdminFreedcamp (Feedback Squad, Freedcamp) commented  ·

We are working on a way of implementing this, however in the meantime a small trick to use is assigning a To-Do to someone you want to be involved then re-assigning it to another person. This will subscribe anyone who the To-Do was assigned to so they will receive notifications about comments and updates to the To-Do.

Please explain your ideal workflow here or email help@freedcamp.com if you do not want to share publicly. How exactly do you want to integrate with MailChimp is the main question.

The easiest way for us is to add required Zapier actions/triggers and searches. MailChimp already integrates with Zapier

                Hi Robert,

Have you checked new Project Templates module - https://freedcamp.com/marketplace/22 allowing to use any existing project to create a new one?

As for tags Project Templates will allow to bring tags across when duplicating when we will actually add Custom Tags.

May I ask what type of tags you will create and what else you will expect - probably search by tag, filter tasks by one or more tags?

Do you want to see tags in Task list?

Shall we add a few different types of views in Task list - brief, standard and full each showing more info about a task? In this case 'Brief' will only show task name, due date if set, priority and who is assigned. 'Standard' can show tags. 'Full' can expand to show what Milestone that task belongs, how many comments and files and when was last comment. When integration with Time will be completed it can show how many hours was worked and % completion if expected hours were entered?

                Cheers,
                Igor

                      Hi All,

We think that each task can be only in progress, not in progress or completed but true – not in progress task can have a clarification sub-status like ‘waiting for a feedback’ or ‘postponed’ and we do consider adding sub-statuses in the future. Things like ‘Testing’, ‘Review’ – task lists can be used to handle. A task in ‘Testing’ task list will still be in progress, not started or completed because if you set it as status you will never know if actual testing phase not started, in progress or completed. To handle this in Kanban view we plan to allow to switch Kanban view to show columns as task lists in addition to by status available now. Hope it helps what is planned and what to expect.

                      Summary:
                      - add substatuses (allow to edit them)
                      - Kanban columns either per status+sub-status or task list

                      "Cannot Complete" Redlining Function

I think it would be great to add a redlining function to cross off tasks that you never did or won't work but still want to be part of the thinking process.

Say one has three ideas for jelly flavors:
                      Pickle Juice
                      Boisenberry
                      Kiwi

Out of the three, a logical person would write reports for the last two but skip the first one. While we still want to know we came up with the idea for the wrong jelly flavor but will not mark as completed since we did not write a report for that item.

Additionally, if you have a list of guests. 10 say they can come and 5 say they cannot come. There's no visual way to differentiate between the two groups if they both have to be marked as completed to get them out of the way in a green (positive) manner.

Let's not mix more statuses and more Kanban columns because these are completely different things. Unless in your workflow a task added to Testing status is immediately assumed in progress - Testing is not a status but a task list where you add a task to and someone starts testing and completes it and moved it to 'Release' task list.

However, we do want to unify how most used Freedcamp application - Tasks works.
We want to allow flexible groupings - currently tasks grouped by a task list with an option to remove groupings entirely.

Kanban view is special as you have groupings - currently task lists and columns (currently statuses). So here we can allow you to decide what attributes you want to use (if any) for grouping and what to use as columns. So you can have no grouping and task lists as columns or people as groupings and statuses as columns.

This concept is demonstrated here https://www.dropbox.com/s/gwnunq91u5hrl4i/Tasks%20Views.png?dl=0 and applies to all views - List, Kanban and Gantt with the exception that Kanban will also allow to define what to use as columns.

Once this is done - it will cover most use cases and we will only implement substatuses - an ability to define 'Blocked', 'Waiting response' as a substatuses for 'No Progress' status and ability to expose substatuses as columns and groupings. We would like to keep them as substatuses as we know semantics which is only split into 3 things - not doing, doing and done so we can use it in Freedcamp to help you complete your projects faster.

Let us know what you think in the comments, please!

@Mike - all 3 main statuses will have custom sub-statuses. Right now you can use Custom Fields and add extra d/down "Sub-status":
                      No Progress - Planned
No Progress - Waiting for Approval
                      No Progress - Delayed
                      In Progress - Testing
                      In Progress - Review
                      Completed - Declined
                      etc.

Custom Fields, once used, are exposed to filters so you can easily use them to create your most needed filters and switch contexts quickly.

                      Hi,

Why in this case 5 task lists with the following names won't work?

                      Backlog
                      Analysis
                      Development
                      Deployment

You move your tasks from Backlog where all tasks are always not in progress status to Analysis task list, assign and start it. When a task in Analysis is completed you push them to Development task list etc.

You can also add Custom Field 'Stage' as a drop down and have all your tasks having one of these attributes attached:
                      Backlog
                      Analysis
                      Development
                      Deployment

if you are on Business Plan.

I assume each of 7 statuses will have a binary attribute attached (in progress, not in progress) and order of these statuses needs to be defined as well by you.

@Megan - using Custom Fields as a substatus will not add extra columns to Kanban view, sorry about it.

                      We need to add
                      - more statuses and support multi-column Trello like Kanban
                      OR
                      - more substatuses and keep Kanban with three columns, but expose substatus to be visible as labels on tasks.

AdminFreedcamp (Feedback Squad, Freedcamp) commented  ·

In my opinion having possibility to add substatus, see them and be able to filter them, will perfectly make the job.
Personally I do not think having more than 3 columns in canban view is necessary. 3 colums with substatuses visible with be just perfect.

                      Cheers,
                      Marcin

                      Our immediate road-map:
                      - Gantt (start date tasks and task dependencies)
                      - recurrent Events
                      - recurrent Tasks
                      - Custom fields in Tasks
                      - open API, Slack, Zapier integrations
                      - DropBox and OneDrive integrations
                      - emailing into Freedcamp to create new things

So the only way for now will be to create Custom filed called Substatus and provide values for a drop down list and make it mandatory field however this feature will only be available on Business Plan (old paying customers will be able to buy it from marketplace using old pricing model too).

Yes - looks like we MAY have to go with custom statuses with no hierarchy and allow as many columns as you want. We only need to ask order of them and what statuses mean progress, no progress or completion. If you want to put completion on left and not started statuses on right - it is up to you.

@Wayne - with this approach we can stay within 3 columns and allow fully custom statuses.

It does not stop us from allowing all your statuses to be columns but we can do it LATER.

Proposed here solution is MVP to allow more statuses without redoing a lot in Freedcamp. Shortest path for it to be done and released.

As for departments being able to act as statuses - probably better to use it this way - https://www.dropbox.com/s/vfet3uwizdqxstr/Kanban%203%20columns%20workaround.png?dl=0

but looks like you do not need - not completed, in progress and completed statuses in each department.

Have you considered Trello at all? If you only push tasks between manufacturing process columns and each person responsible for a step is to grab as many top tasks as possible, do them and move them to next step - looks like Trello will work better for you.

Until we will implement this and also add support multiple statuses columns in Kanban we will never be a perfect system for your workflow, unfortunately.

@Scott - have you checked - https://www.dropbox.com/s/4dtvporv9mlvgu9/multiple%20statuses.png?dl=0 This is what THIS portal provides (UserVoice)? Kind of status categories wherev YOU as a user define what you want to be the options in each.

In you case you will decide if you want to create "Not approved" in "No Progress" category or you will just use "In Progress" in "Doing" and reassign back to developer who will be notified and read supposedly last comment as what was missed and needs fixing. Just a matter if you want to see "Not approved" tasks while their status as such and no one started working on it again and put it to "In Progress".

You will decide if "In Review" has to be in "Done" or "In Progress". It is totally flexible and up to you.

In systems like Jira you can spend some time and define full workflow as to what happens if a task is approved or rejected etc.

If we add separate statuses - we will have to redo a LOT - Kanban to support 6-8 columns, List view etc etc.

Our due dates fluctuate all the time. The project still exists but there is no set due date so we don't want to mark it as complete but we also don't want it look like we haven't finished it. So a task would be: not started, in progress, complete, on hold.

                      @Greg,

I don't know any platform where we can escrow your money until we reach a target budget we can definitely set allowing us to work on it.

Asking to commit money in principal does not work. When you need money - people left or not interested any more.

On platforms like Kickstarter 20% is lost as commission.

I would prefer to work with one company, one Freedcamp client who will get life time free account with unlimited storage and whose name as a sponsor with a short plug will always be displayed on a marketplace page where we will ask users to go to sponsor's social pages and say 'thank you' to them.

The only idea I have is to create own page and use storage yearly subscriptions as a voting mechanism.

Let's say this feature will be developed if we collect $4K.

You vote by buying Freedcamp file storage for one year and in fact you get it for exactly one year.

We have to decide for how long we collect money for a feature - I propose 1 year.

If we collect $4K - we post delivery date and start development
If we do not collect $4K - we email everyone who contributed asking if they want to wait another year or want a refund. People who will agree to wait will get next year file storage they bough 100% free.

People who decided to take their money back will be 100% refunded. We loose always some fees when we charge you and when we refund you but we can not totally avoid it.

                      What do you think?

As I said before - if you love Freedcamp - pay 2$ a month for extra storage even if you do not need it to keep us going. We work very hard here to keep most of it free for you too.

@Mark - imagine tasks/time are already integrated and in addition, you can keep adding time to a task entry each having own description. For example,

                        Task - Create a web site - total 15h 15 min
time entry 1 - 15 May 3:30 - setting up web hosting account
                        time entry 2 - 15 May 5:00 - installing WordPress
                        time entry 3 - 16 May 6:45 - installing themes and plugins

Do you want to add tags to a task or also to each activity - time entry?

                        @Tamas - invited.

Yes - grand idea is to:
                        - allow track time on tasks and subtasks-pro
                        - allow to run reports in Time app
                        - allow to pull completed only tasks for a time period (bill all completed task completed in Oct 2017)
                        - allow to pull all time for a period of time (bill all time worked in Oct 2017)
                        - allow to do all by a project or across multiple/all/completed projects
                        - allow to hand pick tasks to bill
                        - allow not only to bill clients but also export what you have to pay to your contractors - all above use cases will also apply.

                        In the future:
                        - apply rates to people you pay
                        - apply rates to clients you bill

@Jaroslav - you can create a saved search - Show only not completed time tasks so you can keep it as default but remove it with one click, if you need to see all records.

We have switched to full time work one month ago. You will see a lot of improvements in 2014.

There are a few options available - push project calendar to Google and share it or use Data Feed Link to get data in Google sheet, create a report and share. Just FYI

                              Hi All,

Please give me an example of a system out there where you can take calendar to Google, change an event in Google Calendar for that system and see changes you have made back in that system.

                              Thank you,
                              Igor

We are launching ability to filter Freedcamp Calendar (optional), name it as you like and push to Google Calendar next release.

Ability to do above from Calendar board.

You can push the same calendar twice to Google. Share one with those who need to see content and share another one in see free/busy time only (Google Calendar provides this option) and share this calendar with those who do not need to see particulars.

                              Cheers,
                              Igor

                              Hi,

Thanks for posting. We actually plan how we sync Freedcamp items to external calendars making it more universal - you will copy a link in Freedcamp and paste it to Google Calendar, iCal or Outlook. Once done we can do the same the other way around to allow you to copy a link in external Calendar and paste it to Freedcamp calendar. Freedcamp will poll periodically these links to update external events.

Totally agree - it will make it easier to start using Freedcamp's calendar instead. Add ability to share available times publicly so people can book you in and you have a perfect system.

                              Cheers,
                              Igor

It is not broken. A lot of systems have it done one way. We will definitely improve it but no ETA, sorry.

@Neal - even here at Freedcamp this is not the case. We start a task often and add subtasks later to branch out while a top-level task is still NOT a container and should not be closed but a signal for an assignee (say developer) that specification (subtask), design (subtask) are completed and he/she can continue doing top-level task.

                                    Hi Henk,

What if instead of moving tasks which is always not obvious we will allow to click on a task on the left side and Gantt will scroll to navigate to that task instead?

This is the new Gantt we plan to launch soon - better styling and occupies full monitor width - https://www.dropbox.com/s/dleqmiw6vqihpoe/New%20Gantt.png?dl=0

For now, you can use full-screen mode to see a giant Gantt - button to switch to it is above Gantt on the left side

I think we can add yet one more option 'Show tasks with no deadlines today' which can be turned on for planning and color those tasks with a special color so it will be easier to see that those tasks are not actually one day tasks for today but rather unplanned yet tasks.

                                    Will this work?

                                      Hi Shane,

                                      Thanks for posting!

Immediate workaround will be to create another custom field template with just one not compulsory field and add it to a project. You can name it ‘Subtask’. In this case when you create a task or a subtask you will see a selector to choose custom field template but you can select none.

                                      Regards
                                      Igor

CRM is a project group application https://freedcamp.com/Freedcamp_LxR/Freedcamp_Devel_yOf/wiki/wiki_public/view/Pgaab

You can access project group applications from Project Board https://freedcamp.com/dashboard
They are shown next to a project group name or inside project picker – same. You do not need to go into a project to access it. Side menu inside all projects in a project group will show CRM link to the same CRM added to that project group.

You are right to the point that Invoices, Passwords and CRM should probably become global apps not project group related – you add those who you want to be able to access it by selecting from invited users or just inviting directly to Passwords without a need to invite to a project first.

                                        Regards,
                                        Igor

@Jody - thanks for sharing. This is a way to go, for now.

@Jody - best way will be to create a GDrive folder, allow read-only access and create Wiki pointing to it with explanations. Create projects from Template having this Wiki already inside the template (Business plan only) or just create Wiki by copy/pasting in each new project.

Do not forget to add new members as shared with on GDrive.

@Jody - thanks for clarifications. We were just thinking opposite - you go to Notifications page and check and mark red updates from all projects. You can also filter and do them one by one if you want. Compare this to going to each project and check left side panel for new updates - many more frictions here.
